Nanny Job Description

Nanny sharing can be an amazing experience and extremely beneficial to all parties involved. However, shares require high levels of communication and compromise. Since they are a bit more complex, you’ll need to talk through certain things to prevent misunderstandings and issues.

Trying to remember it all will only set things up for failure. Use this template to guide your discussions and put it it writing.

EXPECTATIONS

General

  • Be on time for work day. 
    • Tardiness is considered more than _____ minutes late.

Persistent tardiness may be grounds for termination.

  • Other than appropriate music channels or other appropriate programming approved by the family, television and phone use for personal use by the nanny should be limited to naptime except in emergency situations.
  • The nanny will agree to receive the following vaccinations:  ➥

    • The nanny will provide the family with proof of receiving such vaccines and/or results from such medical tests, and the family will reimburse the nanny for these expenses if not covered by health insurance.

Sick Child

Those who share care can work this agreement to include all, none or pick and choose the conditions they find agreeable to participate in the share.

  • In the event that a Child in the Share is sick, it is okay for them to participate in the share unless:
    • Fever greater than 101°F within the previous 24 hours.
    • Vomiting or diarrhea within the previous 24 hours.
    • Condition is highly contagious, such as pinkeye; hand, foot, and mouth disease; lice; or any other condition that the physician recommends avoiding exposure to other children.
  • The Family of the ill child will be responsible for alternate care. The nanny will care for the well child(ren) in the well child(ren)’s home. 
  • If children of both families are sick, the nanny will provide care as usual.
  • Family will defer to “guaranteed hours” and “family time off” agreements to guide who pays at what rate during absence of one family from the share.

 

Visitor Policy

  • No visitors, including family members of the nanny or other family members of the family will be allowed in the house without prior approval from both families. 
  • No other children will be allowed on premises without prior approval from both families.

 

Smoking/Drugs/Alcohol Policy

  • Smoking, consumption of alcohol or illegal substances while on duty is strictly prohibited. 
  • The nanny agrees to abstain from bringing cigarettes, alcohol or any illegal substance to the workplace.

Safety

  • The nanny is to keep CPR and First Aid certification current and provide copies to the family. In-person training is preferred.
    • The family will reimburse the cost when presented with the receipt and certification (register for an upcoming class).
  • Families to be notified as soon as possible of any urgent or emergency situations.
  • The families and nanny will assess the spaces in which the child(ren) will be cared for. All parties understand this will be an ongoing process as different concerns may arise for different children or with different developmental milestones. Parties agree to be cognizant, receptive, and accommodating to safety concerns to promote the well-being of the child(ren).

During nanny share hours, the nanny’s focus will be on ensuring the safety and well-being of the child(ren).

Providing satisfactory general care of the child(ren) is more important than cleaning up after the child(ren). The nanny will perform other duties only to the extent that it does not distract from providing satisfactory general care.

If one or both families will be using the nanny aside from share hours, describe if any of the following are additional responsibilities while the nanny is caring for their family alone:

COMPENSATION AND BENEFITS

  Important note: Employers must comply with federal, state and county’s minimum wage and overtime laws. 

In 2020, employment taxes are required when a household employee is paid more than $1000 in any calendar quarter or $2200 in a calendar year. Refer to the IRS Household Employer’s Tax Guide for more information.

It is recommended that each family first establish a “regular hourly rate”. This is the non-share single family rate. The regular rate will depend on your area’s cost of living, the nanny’s level of experience, credentials, the number of children the family has and job responsibilities. 

The share rate should be discounted by approximately 33%.

Example:


Family A’s regular (single family) rate is $15/hour

-Share rate would be $10/hour

Family B’s regular (single family) rate is $18/hour 

-Share rate would be $12/hour

Nanny would be paid a total $22/hour between the two families

In this section, also describe if any benefits, such as health care, mileage reimbursement, meals, bonuses, etc. are offered by either or both of the families.

Family Time Off

  • If the family has agreed to pay the nanny for a guaranteed number of hours per week, then the family who is not present will still compensate nanny for the guaranteed number of weekly hours. Time Off Requests

Insurance/Workman’s Compensation

Most homeowner’s/renter’s insurance policies will not cover any person(s) injured on the property if they were paid to be there. The majority of insurance companies do have riders that can be added to provide coverage for a minimal additional fee per year.

CONFIDENTIALITY

  • During the course of employment, the nanny may see, hear or otherwise become privy to information about the family. It is understood and agreed that all information relating to the families, including, but not limited to, financial, medical, household, or career information, is confidential and may not be disclosed to anyone without the written consent of the undersigned parents of the family. It is also understood that a failure to abide by this agreement may, at the family’s discretion, result in immediate termination.
  • Photos and information are not to be shared on social media without consent from the families.
  • The obligations of the nanny under this clause survive termination of this agreement.

 

CHANGE OF TERMS

  • Terms are subject to change in the event of a natural disaster, pandemic or other unforeseen extreme in which any party feels it unadvisable or unsafe to carry on with the contract. In this event:
    • Notice should be provided in writing describing in detail the temporary change(s) that are necessary or contract suspension.
      • If a contract suspension is necessary, nanny may opt to use any paid time off that has accrued. 
  • Other changes of terms including the number and names of the child(ren) under the nanny’s care, will be documented and agreed upon by all parties.

EMPLOYEE ENGAGEMENT AND PERFORMANCE REVIEWS

Reviews: 

  • Review to be held 1 month after start date

  • In the event of the birth of another child or changes

 

TERMINATION OF EMPLOYMENT

  • Any party to this agreement must give 4 weeks written notice to terminate the agreement, unless the termination is for material breach of the agreement including, but not limited to, circumstances where the child(ren)’s safety is compromised, failure to report any illness or injury of the child(ren) (no matter how minor) to the appropriate family, nonperformance of duties, dishonesty, lying, theft, persistent tardiness or absenteeism, smoking/alcohol/drug use while on duty, or violation of the confidentiality clause. The family has a 30-day probationary period, during which time employment may be terminated for any reason.
  • Severance: The family does not have any policy for payment of severance pay on termination.
